Staff Assistant – OMD-DMD

The successful applicant will provide administrative support to DMDPD, the Senior Advisor on Gender, and OMD more broadly. They will carry out a broad range of administrative support duties, including meeting scheduling, monitoring deadlines and deliverables, handling clearance and correspondence, making travel arrangements, and backing up the senior administrative assistant and other assistants across OMD as necessary. The applicant will be required to handle incoming and outgoing correspondence in English and Chinese, and translate documents and speeches between English and Chinese. In all tasks, the assistant will be required to handle highly confidential information with discretion, to collaborate effectively with other assistants and staff in OMD, and to calmly juggle competing demands under short deadlines.
Major Duties and Responsibilities
Maintains the calendars of the DMD and Senior Advisor on gender. In collaboration with the senior assistant, arranges and schedules meetings with external meeting participants and Fund staff. Coordinates with SEC to schedule Board meetings based on the DMD’s availability. Schedules daily office meetings, cross-departmental meetings, and external meetings (including with high-level country delegations) in a variety of formats (Teams, WebEx, hybrid, in-person). Helps manage workflow for DMDPD and the Senior Advisor, maintaining work lists of pending items, and issuing clearances of country and policy papers, including those classified “strictly confidential.” Organizes, files, and retrieves documents from physical and electronic repositories. Deals with office correspondence in both English and Chinese. Provides other administrative support, including making travel arrangements, filing travel claims, and assisting with HR matters. Translates speeches between English and Chinese on occasion. Assists in the preparation of documents. Available to assist with administrative work across OMD during busy periods and to cover during absences.
- E ducational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of four years of relevant experience, is requiredpreferably including administrative support to senior officials.
- Written and verbal fluency in Chinese (Mandarin).
