Project Support Officer (100%) – Temporary contract of 2 years


The Project Support Officer will provide support to Project Managers and project teams to effectively establish, plan, manage, deliver, control and report on global development projects and programmes in line with the project and governance framework.

S/he will also support in the administration and efficient functioning of the strategic and internal portfolio and help to optimize processes to further improve the overall reporting process and governance approach.S/he will be working on projects covering a variety of activities at the Central Secretariat, working closely with management, and there might also be opportunities to take leading roles on tailored initiatives and potentially smaller improvement projects. S/he will join the Strategy and Project Management Office (SPMO) unit and will be part of supporting the implementation of the ISO Strategy via strong project management support across the Organization.

Key responsibilities

Data compliance

  • Provide administrative support to project managers, ensuring that all projects are always reflecting the real status of the organization portfolio with timely and clean records of their daily operations (timeline, resources, risks, budget etc) in the KeyedIn Projects system
  • Report on portfolio status (quarterly reports, and ad hoc reports on project progresses and finance)
  • Manage PMO-centralized communication (reminders, information, wiki, etc..)
  • Ensure implementation of PMO policies and practices
  • Help build positive relations within the team and external parties
  • Support the dissemination of a project management culture across the organization
  • Perform miscellaneous job-related duties as assigned

System administration as super-admin

  • Manage KeyedIn licensing and yearly budget
  • Extract data and provide analysis upon request
  • Build ad hoc reports using the KeyedIn reporting facility
  • General configuration activities of KeyedIn (widgets, custom fields,…)
  • Review, investigate and resolve users support requests related to KeyedIn
  • Escalate support tickets as necessary to the Development teams
  • Ensure customer questions and challenges are effectively answered, taking ownership of issues
  • Maintain and update KeyedIn Wiki page
  • Deliver trainings on KeyedIn in line with identified needs, face to face or via online methods upon request

Report to: Head of Project Management Office

Qualification and Experience

  • From 3 to 5 years of proven experience or studies in the field of project management (BSc or MSc Degree in a related field and some years of exposure to project management highly preferred)

  • Strong IT skills, thorough knowledge of Microsoft Office applications (experience in MS Project or in a PPM solution is an asset – training in KeyedIn will be provided), and passionate about learning and playing with new IT tools preferred
  • Excellent organization skills and time-management skills, detail-oriented and efficient
  • Ability to manage multiple priorities, trouble-shoot, and to meet short- and long-term deadlines
  • Ability to work effectively independently and as a team member with diversity and multi-disciplinary teams
  • Fluency in English with excellent written and verbal communication skills
  • Ability to work precisely at very detailed level whilst maintaining focus on the higher-level objectives
