Organisational Setting and Reporting
This position is located in the Regional Service Management Service (RSMS) within the Operations Support Division, Office of Information and Communications Technology. The Procurement Assistant reports to a senior ICT Officer in RSMS.
The Regional Service Management Service oversees all information and communications technology (ICT) operations and service management in the United Nations Headquarters (UNHQ) in New York, including fixed and wireless networks, remote access, service desk, business relationship management and broadcast and conferencing services. The Service oversees the global Unite Service Desk operations providing a single-entry point for supporting enterprise applications; manages client relationships through the Business Relationship Management Services and the Regional Framework for Offices Away from Headquarters (OAHs), Economic Commissions and all Field Operations. Facilitates technology solutions for field operations based on operational requirements, including Force Protection and Intelligence Surveillance and Reconnaissance solutions and participates in various working groups in support of Military and Police operations.

Within delegated authority, the Procurement Assistant will be responsible for the following duties:
- Provides procurement, logistical and administrative support to a team of Telecommunications Officers in the acquisition of a wide variety of information and communications technology (ICT) goods and services for field missions.
- Reviews, records and prioritizes purchasing requests and obtains additional information/documentation as required; determines the availability of funding sources.
- Monitors status of existing requisitions to ensure timely delivery of goods and services.
- Assists relevant officers in more complex, higher value purchasing operations; coordinates distribution of pertinent documents to concerned parties, ensures appropriate follow-up action, etc.
- Maintains relevant internal databases and files; keeps track of any contractual agreements, systems contracts, etc. and informs affected users of contractual rights and obligations.
- Researches, retrieves and presents information from a variety of internal and external sources on sources of supply, vendors by commodity, etc., as well as obtain specifications for new products and equipment on the market.
- Drafts routine correspondence.
- Performs other duties as assigned.

High school diploma or equivalent.
- A minimum of five (5) years of experience in procurement, administrative services or related area is required.
- Experience with SAP based enterprise resource planning (ERP) systems or similar systems is desirable.
- Experience using Microsoft Word, Excel and PowerPoint is desirable.
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
- Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
- Appointment or assignment against this position is for an initial period of one year. The appointment or assignment and renewal thereof are subject to the availability of the post or funds, budgetary approval or extension of the mandate.
- This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. - Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
