Job Summary

WHD Southern II Division has an opening for an Administrative Assistant opportunity to help manage the administrative responsibilities of the Division.

The selected candidate is expected to provide a wide-range of office duties and assistance to the divisional staff. He/ she will be responsible for managing the workflow of the division and for ensuring the quality and timeliness of its output.

Typical tasks will include: i) supporting country teams in preparing documents through the mission cycle (production of policy notes and staff reports, and inter-departmental review process); ii) providing administrative and logistics support for Missions; iii) tracking incoming and outgoing documents and action items to help the division meet its deadlines; iv) supporting division members with all other administrative processes;

The assistant will also have opportunities to contribute to WHD-wide projects and initiatives.

Southern II Division consists of the following countries: Argentina, Bolivia, Chile and Venezuela.

The position requires initiative, sound judgment, excellent organizational and communication skills, and knowledge and experience with the Fund’s administrative procedures, practices and policies

Qualifications:

High school diploma or equivalent, supplemented by a minimum of four years of relevant experience, is required. Internal candidates must have met mobility requirements.

In addition to the qualifications outlined in the job standards, the candidate must have:

  • excellent secretarial, administrative, and technical skills, as proven by past performance;
  • proficiency in Word, Excel, PowerPoint, MS Teams, Webex;
  • excellent command of written and oral English, including attention to details, and ability to proofread and edit documents (ensuring correct grammar, spelling, and punctuation);

  • capacity to communicate openly and effectively;
  • strong ability to organize and prioritize work, be proactive, meet deadlines, work effectively under pressure and with minimum supervision;
  • a cooperative attitude, strong interpersonal and relationship-building skills, and ability to work as part of a team;
  • thorough knowledge of Fund practices and procedures;
  • proficiency in Teams, Outlook, Word, Excel, PowerPoint, and knowledge of Fund applications such as HRPROD, FINPROD, DM5, TIMS and TRACES;
  • ability to train and coach other assistants as required.

Previous area department experience at the IMF, though not essential, would be preferred. The selected candidate must be flexible with regard to working hours and be available to work overtime when needed. He/She should also be a team player as he/she may need to provide support to Southern I and Southern III Divisions, as needed.

This vacancy shall be filled by a 3-year Term appointment in accordance with the Fund’s new employment rules that took effect on May 1, 2015.

A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.

Only candidates who are currently residing in the Washington DC metro area will be considered.
