Organisational Setting and Reporting
This position is located in the Inter-organizational and Inter-institutional Support Branch (IISB) under the Office of Intergovernmental Support and Coordination for Sustainable Development (OISC), Department of Economic and Social Affairs (DESA). The Meetings Services Assistant at this level reports to the Senior Sustainable Development Officer of IISB. IISB supports ECOSOC in overseeing, guiding and integrating the work of its subsidiary machinery and in coordinating the work of the United Nations system on the implementation of the 2030 Agenda for sustainable development and major UN conferences and summits. Within delegated authority, the Meetings Services Assistant will be responsible for the following duties:
- Produces weekly and monthly programme of assigned committees and meetings/conferences prepared by senior staff for distribution.
- Prepares and organizes sets of official and other documentation for distribution in the conference room.
- Informs relevant offices/persons of changes in the programme of committees and meetings/conferences.
- Assists in the preparation of logistical and technical arrangements, for meetings of ECOSOC and the HLPF, including room reservations, participants lists, seating arrangements, background documentation, special equipment, etc.
- Undertakes research and provides reference materials for preparation of briefs, notes and statements for the chairperson of committees and meetings/conferences.
- Ensures that reports of committees and meetings/conferences meet the UN document standards and coordinates with the documents control office for submission and issuance of reports.
- Prepares for committees and meetings/conferences to be held away from Headquarters, other UN Offices or Regional Commissions, coordinates with substantive offices, and prepares cost estimates.
- Drafts routine correspondence, including invitations, for signature.
- Makes arrangements for and coordinate video and teleconference activities at headquarters.
- Maintains filing and reference system of procedures and reference materials for committees and meetings/conferences.
- Responds to queries from delegations and the Secretariat.
- Replaces, as needed, senior support staff
- Provides guidance/training, as needed, to temporary assistants and junior staff.
- Performs a variety of administrative duties, such as maintaining calendar/schedule of the Chief of the Branch, staff attendance/leave recording, reviews, logs and routes incoming correspondence, travel requests and expense reports, and processes related to requisitions and payments of supplies and services, ensuring consistency in the application of UN regulations and procedures.
- Performs other duties as required.

High school diploma or equivalent is required.
A minimum of five years of experience in conference support and/or meetings servicing or related area is required.
Experience in using electronic programmes, databases and document management software is required.
Experience in conference support to intergovernmental bodies is desirable.
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required; Knowledge of another official United Nations language is an advantage.
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
