Job Summary


This role will provide full administrative and reception services to CABI Egham together with administrative responsibilities to the Facilities Manager and team on site. In addition there will be ample opportunity to expand the range of duties and responsibilities to include administrative support to many of the scientific teams on site as needed.

As reception is the first point of contact for all visitors to the site we are keen to hire an individual who can demonstrate the utmost professionalism in customer facing skills, working closely with the facilities team to deal with enquiries and people effectively and portray the high standards and professionalism of the organisation.


  • Reception – by providing a high standard of reception duties and admin support to staff and meetings ensuring all activities of Centre run smoothly and efficiently. Reception is the visitor’s first point of contact with CABI, so everything needs to be presentable within the reception area always maintained to a high standard to make a good first impression – main duties will include but not be limited to: maintaining the professional look of the reception area; accept and connect all incoming switchboard calls courteously and professionally; register all incoming business parcels; administer couriers’ collections and deliveryand incoming and outgoing post; Provide hospitatlity and logistical support for meetings/workshops/conferences and assist any visitors with onward travel requirements
  • Security – Ensure security of the building is maintained by issuing all visitors/contractors with a site pass and requesting them to sign in; provide a point of contact in case of emergencies on site; act as emergency coordinator and central liaison role as defined in the Fire Instructions and for emergency incidents. Keep Fire Register up-to-date in liaison with Fire Officers.
  • Facilities – support the Facilities Manager and Site Services Manager by ensuring the cost effective provision of office and laboratory supplies, consumables, couriers, postal services, catering services and supplies; administering the Business Travel log on SharePoint; administering Facilities work flows and updating service records; developing the effectiveness and efficiency of the administrative support to the facilities team.
